Privacy notice

Elaryvo is evidence and portfolio for doctors. This notice explains how account and professional-record information is handled. It is not legal advice.

What we collect

Account details (name, email, sign-in method), profile and pathway choices, professional evidence, logs, career records, assessments, supervisor and colleague invitations, verification packages, support messages, and technical logs needed to operate the service securely. If you attach a file, we store that file on your record.

Why we collect it

To provide the Elaryvo account you requested, to hold the professional records you choose to enter, to send transactional notices (for example verification, assessment, supervisor or security emails), to process billing when subscriptions are open, and to keep the service secure. We do not use your professional files to train models.

Who receives it

Supervisors, assessors, verifiers and feedback respondents see only what you invite them to see. Hosting, email and payment providers process data only as needed to run Elaryvo. Elaryvo does not send your records to a regulator unless you export them and you submit them.

Where it is stored

Application data is stored with Elaryvo’s hosting and database providers for elaryvo.com. Transactional email is sent through the configured mail provider. Card numbers are not stored by Elaryvo.

How long we keep it

Account and professional records are kept while the account is active. You may export and request deletion. Security logs may be retained for a limited period to investigate abuse. Backups expire according to the host’s backup cycle.

Account and evidence deletion

You can delete individual evidence records you own. You can request account deletion by contacting privacy@elaryvo.com. Deletion of a record you created does not automatically erase a copy already exported or shown to someone you invited.

Supervisors, assessors and verification

Invitation emails, roles, dates sent, and submitted responses are stored so the professional record has provenance. Respondents do not receive your whole portfolio unless you share it. Completed reviewer judgements are locked from the doctor’s side.

External feedback

Colleague, MSF and multi-team respondents use a unique link to the specific request only. Patient or carer experience feedback is not collected at present.

Billing data

When paid subscriptions are open, billing is handled by the payment provider. Elaryvo stores subscription status, not full card numbers.

What you must not upload

Patient-identifiable information. Review and anonymise files before adding them. Elaryvo is not an electronic patient record.

Your rights

Depending on where you live, you may have rights to access, correct or delete personal data, or to complain to a data-protection authority. Contact privacy@elaryvo.com for privacy questions.
